From ordered box to finished film, hands-free
Videokliniken.se digitises old video tapes. We built away the manual work around the craft itself: shipping labels that run automatically, a chat that sends boxes to customers, and a streaming site that emails the customer by itself when the films are ready.

Digitising a VHS tape is craft. Everything around it is admin. The customer needs a box to put the tapes in, the box needs a shipping label, the tapes need recording, and the customer needs to know when the films are ready and be able to watch them. Each step is simple. Times every customer, they eat the day. Videokliniken is Sebastian's own business, so this was also where we could test how far AI goes in a real workflow.

What we built
We started with the boxes. The form on the site and the chatbot are connected, so a customer who wants their tapes digitised can order a box right in the conversation. The shipping labels then run automatically. Nobody sits typing in addresses by hand.
Then we built the streaming site stream.videokliniken.se, with AI as a tool throughout the build. There the customer watches their digitised films straight in the browser, in our own interface.
The last step ties it all together. The films are stored on a Synology network drive, and the system keeps an eye on it. When a customer's tapes have been recorded, an email goes out by itself: your films are ready, stream them here. The customer does not have to wonder and we do not have to keep a list.
This is what we mean by AI project management. Not a strategy in a binder, but a flow from order to delivery where the human does the craft and the rest looks after itself.
